How to Add a Contact and Link It to an Account in Vedain

Contacts in Vedain are people you have qualified and are actively working with — typically linked to a company Account. Here is how to add a contact and keep your account relationships organised.

Adding a New Contact

  1. Click Contacts in the left sidebar.
  2. Click + New Contact.
  3. Fill in the contact form.
  4. Click Save Contact.

Key Contact Fields

  • First Name / Last Name — Required.
  • Job Title — Their role at the company.
  • Department — Sales, Marketing, Engineering, etc.
  • Reports To — Their manager (select from other contacts in your CRM).
  • Email — Primary email for sending and tracking.
  • Phone / Mobile — Contact numbers.
  • Account — The company they work for (see linking instructions below).
  • Owner — Which team member manages this contact.
  • Email Opt Out — Toggle on if the contact has asked to not receive marketing emails.
  • Do Not Call — Toggle on if the contact has asked not to be called.
  • Tax ID (GSTIN/VAT) — For Indian/UAE clients where invoices need their tax ID.

Linking to an Account

The Account field on the contact form links this person to their company. Start typing the company name — existing accounts appear in a dropdown. If the company does not exist yet:

  1. Type the new company name in the Account field.
  2. A 'Create new account: [company name]' option appears.
  3. Click it to create a new Account record and link the contact to it simultaneously.

Difference Between Contacts and Leads

  • Leads are unqualified prospects — you are still evaluating whether they are a real opportunity.
  • Contacts are qualified individuals you have an ongoing relationship with.
  • Contacts are typically associated with an Account (company).
  • Use Leads for top-of-funnel prospecting; use Contacts for active customers and qualified prospects.

Frequently Asked Questions

Can a contact belong to multiple accounts?

Each contact can be linked to one primary account. If a person works with multiple companies, create separate contact records for each relationship, or use the Notes field to document the multiple affiliations.

What happens if I toggle Email Opt Out on a contact?

Vedain will not include that contact in email campaigns. They are effectively excluded from all future campaign sends until you toggle Email Opt Out off.

Can I import contacts and link them to accounts in the same import?

Yes. Include the Account Name column in your CSV. If an account with that name already exists, the contact is linked to it. If not, Vedain creates a new account automatically.
