How to Connect Microsoft Outlook to Vedain CRM

Connecting your Microsoft Outlook or Office 365 account to Vedain lets you send tracked emails and run campaigns from your existing business email address. The setup uses Microsoft's secure OAuth — no password sharing required.

Prerequisites

  • A Microsoft account: personal Outlook.com, Office 365, or Microsoft 365 business account
  • Admin access to Vedain
  • If using a company account: your Microsoft 365 admin may need to pre-approve the Vedain app

Step-by-Step: Connecting Outlook

  1. Go to Settings → Email in Vedain.
  2. Click Connect Email Account.
  3. Select Microsoft Outlook / Office 365.
  4. A Microsoft sign-in window opens. Enter your email and password.
  5. Microsoft shows the permissions Vedain is requesting. Click Accept.
  6. You are redirected back to Vedain. Your Outlook account appears in the connected accounts list.
  7. Click Send Test Email to confirm the connection.

For Microsoft 365 Business Accounts

If your company uses Microsoft 365 and the OAuth flow shows an 'Approval Required' screen, your Microsoft 365 admin needs to approve Vedain. They can do this in the Microsoft Entra admin centre → Enterprise Applications. Once approved, you can connect normally.

Troubleshooting

  • AADSTS error codes: Usually means your Microsoft 365 admin has restricted third-party app connections. Contact your IT admin.
  • Connection drops after a few days: Microsoft tokens expire. Re-authenticate from Settings → Email → click Reconnect next to your account.
  • Emails going to Junk in Outlook: This is a recipient-side issue. Advise recipients to mark your emails as Not Junk.

Frequently Asked Questions

Does this work with a personal Outlook.com account?

Yes. Personal Outlook.com accounts work the same way as Microsoft 365 business accounts. Just sign in with your personal Microsoft account credentials during the OAuth flow.

Can I send from a shared mailbox in Outlook?

Shared mailboxes require Send As permissions granted by your Microsoft 365 admin. Once granted, connect the shared mailbox account via Settings → Email → Connect.

How often does the Outlook connection need to be renewed?

Microsoft access tokens typically last 60-90 days. Vedain automatically refreshes them in the background. If the connection drops, you will see a warning banner — just click Reconnect.
