How to Create and Assign Tasks in Vedain CRM

Tasks keep your team on track with follow-ups, calls, proposals, and any other action items. Every task can be linked to a lead, contact, or deal so nothing falls through the cracks.

Creating a New Task

  1. Click Tasks in the left sidebar.
  2. Click + New Task.
  3. Fill in the task form (see fields below).
  4. Click Save Task.

You can also create a task directly from a lead, contact, or deal: open the record, click the Tasks tab, and click Add Task. The task is automatically linked to that record.

Task Fields

  • Title — Required. What needs to be done (e.g., 'Follow up call', 'Send proposal to Acme Corp').
  • Description — Optional. Any additional context or instructions.
  • Due Date + Time — When the task must be completed. Tasks past their due date are marked overdue.
  • Priority — Low, Medium, High, or Urgent. Affects sort order in the task list.
  • Assign To — Which team member is responsible. Defaults to you.
  • Linked Record — Link to a Lead, Contact, Deal, or Account.
  • Status — To Do, In Progress, or Done.

Notifications When Assigning Tasks

When you assign a task to a team member, they receive an in-app notification and an email notification (based on their notification preferences in Settings → Notifications). They see it in their Tasks list immediately.

Overdue Task Alerts

Tasks past their due date are highlighted in red in the Tasks list. Vedain also sends an email reminder notification when a task becomes overdue. Managers can filter the Tasks list by Owner to see all overdue tasks for their team.

Frequently Asked Questions

Can a task have multiple assignees?

Each task has one assignee. For work requiring multiple people, create separate tasks for each person, or use the description to mention collaborators.

Can I create recurring tasks?

Recurring tasks are not natively supported currently. As a workaround, use Automation Rules: create a rule that automatically creates a task on a scheduled trigger (e.g., weekly).

Can I attach files to a task?

Currently tasks support text description and @mentions. For attachments, add the file to the linked lead/contact/deal's Attachments section and reference it in the task description.
