How to Create Automation Rules in Vedain CRM

Automation rules in Vedain let you eliminate repetitive manual work. Set up a rule once, and it runs automatically — assigning leads, sending emails, creating tasks, and notifying your team whenever specified conditions are met.

How Automation Rules Work

Every automation rule has three parts:

  • Trigger — What event starts the rule (e.g., a field changes, a new record is created, a scheduled time arrives).
  • Condition — Optional criteria the record must meet for the action to fire (e.g., Lead Source = 'Website').
  • Action — What Vedain does when the trigger fires and conditions are met (e.g., assign to a team member, send an email).

Creating a New Automation Rule

  1. Go to Settings → Automation.
  2. Click + New Rule.
  3. Enter a Rule Name (e.g., 'Auto-Assign Website Leads').
  4. Select the Trigger.
  5. Add Conditions (optional but recommended to avoid firing on every record).
  6. Add one or more Actions.
  7. Toggle the rule Active.
  8. Click Save Rule.

Available Triggers

  • Record Created — fires when a new Lead or Contact is created.
  • Field Changed — fires when a specific field changes value.
  • Scheduled — fires at a daily or weekly schedule.

Building Conditions

Conditions use Field → Operator → Value logic:

  • Field: Lead Source
  • Operator: equals
  • Value: Website

Add multiple conditions using AND (all must be true) or OR (any can be true).

Available Actions

  • Assign Owner — Set the lead/contact to a specific team member.
  • Update Field — Change a field value (e.g., set Status to 'Contacted').
  • Send Email — Send an email from a template to the lead/contact.
  • Send Notification — Notify a team member in-app and by email.
  • Create Task — Create a follow-up task and assign to a team member.
  • Webhook Call — Send the record data to an external URL (for Zapier, Make, etc.).
  • Add Tag — Tag the lead/contact for segmentation.

Practical Example: Auto-Assign Website Leads

Trigger: Record Created (Leads). Condition: Lead Source = Website. Action: Assign Owner = Alice (your website follow-up rep). Result: every new lead from the website is instantly assigned to Alice without manual sorting.

Frequently Asked Questions

How many automation rules can I create?

There is no hard limit on automation rules in Vedain. You can create as many as your workflow requires.

Can automation rules trigger other automation rules?

No. Automation rules do not chain — one rule firing does not trigger another rule. This prevents infinite loops.

Is there a log of which rules fired and when?

Currently Vedain does not have a per-rule execution log in the UI. Check the Activity Logs (if available on your plan) for a record of automated actions on specific records.

Can I run an automation rule on existing records, not just new ones?

Scheduled trigger rules can run on all records matching the conditions on a daily or weekly basis. Field-change and Record-Created triggers only fire going forward on new events.
