How to Customise Lead Status Options in Vedain CRM

Lead Status tracks where each lead is in your sales process. Vedain comes with default statuses, but every business has a different workflow. You can fully customise the status list to match how your team actually works.

Default Lead Statuses in Vedain

  • New — Fresh lead, not yet contacted
  • Contacted — Reached out at least once
  • Qualified — Confirmed there is a potential opportunity
  • Proposal Sent — Sent a quote or proposal
  • Negotiation — In active pricing discussion
  • Won — Deal closed successfully
  • Lost — Did not close
  • Converted — Converted to a Contact or Deal

How to Add a New Lead Status

  1. Go to Settings → Field Config (or Settings → Lead Status, depending on your version).
  2. Find the Lead Status section.
  3. Click Add Status.
  4. Enter the status name (e.g., 'Demo Scheduled', 'Pending Approval', 'On Hold').
  5. Select a colour for the status badge.
  6. Click Save. The new status is immediately available in all lead forms and filters.

How to Edit an Existing Status

Click the pencil/edit icon next to any status to rename it or change its colour. Renaming a status updates it on all existing leads that have that status — no data is lost.

How to Reorder Statuses

Drag the handle (⠿) on the left of each status row to reorder. The order here is the order they appear in dropdowns on lead forms and filters.

How to Delete a Status

Click the delete (trash) icon next to a status. If any leads currently have this status, Vedain will ask you to reassign them to another status before deleting.

Frequently Asked Questions

Can I rename 'New' to something else like 'Fresh Lead'?

Yes. Click the edit icon next to 'New', type the new name, and save. All leads currently with status 'New' will immediately show the new label.

Will changing status names break existing data or reports?

No data is lost. Existing leads keep their status but it now shows under the new label. Historical reports show the new label name for old records too.

Can I have different lead statuses for different teams or pipelines?

Currently lead statuses are company-wide and shared across all users. For completely separate pipelines, use the Deals module which has configurable pipeline stages per team.

Is there a limit on how many statuses I can create?

There is no hard limit. However, more than 10-12 statuses tends to confuse teams. We recommend keeping it to the stages that meaningfully represent your sales process.
