How to Fix a Failed or Incomplete CSV Import in Vedain CRM

CSV imports sometimes fail or show fewer records than expected. Here is how to diagnose and fix the most common import problems in Vedain.

Checking Import Results

After an import, Vedain shows a results screen with: records imported successfully, records skipped (duplicates), and records with errors. For errors, Vedain usually shows the row number and the specific problem.

Common Error 1: Wrong Date Format

Problem: Fields like Expected Close Date or Date of Birth fail to import.

Fix: Use YYYY-MM-DD format (e.g., 2026-06-15). Excel may display dates differently — change the cell format to YYYY-MM-DD before saving as CSV.

Common Error 2: Missing Required Column

Problem: Import fails with 'missing required field' error.

Fix: Leads require at minimum a First Name or Full Name column. Contacts require First Name and Last Name. Check the column mapping screen — if a required field shows 'Not Mapped', map it to your CSV column.

Common Error 3: Special Characters Breaking the File

Problem: Names with accents, Indian characters, or special symbols appear garbled.

Fix: Save your file as CSV UTF-8 (Comma delimited) in Excel: File → Save As → choose 'CSV UTF-8 (Comma delimited) (*.csv)'. This is different from the default CSV format.

Common Error 4: Phone Numbers Losing Leading Zeros

Problem: Phone numbers like 0981234567 lose the leading zero and become 981234567.

Fix: Format the phone column as Text in Excel before entering numbers (right-click column → Format Cells → Text). Or add a leading apostrophe (') in Excel to force text format.

Common Error 5: Lead Status Values Not Recognised

Problem: Lead Status values from the CSV don't match your CRM statuses.

Fix: Status values must exactly match (case-sensitive) your configured statuses. Check Settings → Field Config → Lead Status for the exact labels. Update the CSV to use matching values.

File Too Large

Split into batches of 5,000 rows. Import each batch separately.

What is the maximum number of records I can import at once?

Vedain recommends batches of up to 5,000 rows for best performance. You can run multiple imports consecutively for larger datasets.

Can I import and update existing records at the same time?

Yes. In the duplicate handling step, select 'Update existing records'. Vedain matches by email address — existing records with a matching email are updated; unmatched rows create new records.

Can I undo an import?

There is no one-click undo. To remove imported leads, filter by Date Added = today in the Leads list, select all, and use Bulk Actions → Delete. Do this immediately after a bad import before your team starts working the records.
