How to Set Up Your Sales Pipeline and Deal Stages in Vedain

Your sales pipeline is the visual representation of every deal your team is working on, organised by stage. Setting up the right stages — matched to how your team actually sells — makes it easy to forecast revenue, spot bottlenecks, and prioritise follow-ups.

How to Configure Deal Stages

  1. Go to Settings → Deal Stages.
  2. You will see the default stages: Lead, Qualified, Proposal, Negotiation, Won, Lost.
  3. To add a new stage: click Add Stage, enter a name, pick a colour, and click Save.
  4. To rename a stage: click the edit (pencil) icon, change the name, and save.
  5. To reorder: drag the handle (⠿) on the left to change the stage order. This is the order stages appear left-to-right in the Kanban pipeline view.
  6. To delete a stage: click the trash icon. Deals in that stage will need to be moved to another stage first.
  7. Mark one stage as Won and one as Lost using the toggle — these are used for revenue reports.

Best Practices

  • Keep stages to 4–7. More than 8 stages clutters the pipeline and teams skip stages.
  • Each stage should represent a distinct action or commitment (e.g., 'Proposal Sent' means a document was sent, not just discussed).
  • Name stages from the buyer's perspective where possible (e.g., 'Evaluating Options' rather than 'Stage 3').
  • The Won and Lost stages should always be the final stages — do not add stages after them.

Frequently Asked Questions

Can I have multiple separate pipelines for different products or teams?

Currently Vedain has a single deal pipeline that all teams share. For completely separate pipelines, create deals with a custom field 'Pipeline Type' to filter and segment.

What happens to deals when I delete a stage?

Vedain will prompt you to move all deals in the deleted stage to another stage before deletion. No deals are lost.

Can I rename the Won and Lost stages?

Yes, you can rename them. However, ensure you re-mark the renamed stages as Won and Lost in the settings, as Vedain uses these designations for revenue reporting.

Does changing stage order affect existing deals?

Changing stage order only affects the visual display in the Kanban view. Existing deals keep their current stage regardless of reordering.
