Opening the Lead Timeline
Open any lead and click the Timeline tab. All activity appears in reverse chronological order (newest first).
What Gets Automatically Logged
Vedain automatically creates timeline entries for:
- •Lead created — timestamp and who created it.
- •Emails sent from Vedain — subject, sender, recipient, and tracking status (Sent / Opened / Clicked).
- •Email replies received — when the lead replies to a Vedain-sent email.
- •Status changes — e.g., 'Status changed from New to Qualified by Alice'.
- •Field updates — major field changes (owner reassignment, deal value update).
- •Deal creation — when a deal is linked to this lead.
- •Form submissions — if the lead submitted a Vedain form.
Logging a Note Manually
- On the lead detail page, click the Add Note button (or the note icon in the Timeline tab).
- Type your note. The editor supports bold, italic, bullet lists, and links.
- To notify a colleague, type @ followed by their name — they receive an in-app notification.
- Click Save Note.
- The note appears in the timeline with your name and timestamp.
Logging a Call
- In the Timeline tab, click Log Call.
- Enter call details: direction (inbound/outbound), duration, outcome, and notes about what was discussed.
- Click Save.
- The call log appears in the timeline and counts toward activity reports.
Filtering the Timeline
Use the filter buttons above the timeline to show only specific types: All, Emails, Notes, Calls, Activity. Useful when a lead has a long history and you want to quickly find a specific interaction.
Frequently Asked Questions
Can I delete a timeline entry?
You can delete notes you created. Automatically generated entries (status changes, email logs) cannot be deleted as they are part of the audit trail.
Can other team members see my notes?
Yes. All notes are visible to all team members who have access to that lead. There is no private note option — use your email or a separate channel for truly private communications.
How do I attach a file to a note?
Currently notes support text and @mentions. To attach a file, use the Attachments section at the bottom of the lead detail page, then reference it in a note.
How far back does the timeline go?
The timeline shows the full history from when the lead was created. There is no archive or truncation — all historical activity is preserved.
