How to Assign Leads to Team Members in Vedain CRM

In Vedain, every lead has an Owner — the team member responsible for following up. Assigning leads correctly ensures no lead falls through the cracks and your team's workload is balanced. Here are three ways to assign leads.

Method 1: Assign When Creating a Lead

When adding a new lead via the form, the Owner field defaults to you. Click it to open the team member picker and select someone else. The assigned person is notified immediately (in-app and email, based on their notification settings).

Method 2: Reassign an Individual Lead

  1. Open the lead you want to reassign.
  2. Find the Owner field in the Basic Information section.
  3. Click the current owner's name.
  4. Select a new team member from the dropdown.
  5. The change saves automatically.

Method 3: Bulk Reassign Multiple Leads

  1. On the Leads list, use filters to find the leads you want to reassign (e.g., filter by Owner = departing employee).
  2. Check the box at the top of the list to select all leads on the current page, or check individual leads.
  3. Click Bulk Actions.
  4. Select Reassign Owner.
  5. Pick the new owner from the team member picker.
  6. Confirm. All selected leads are updated instantly.

Method 4: Auto-Assign via Automation Rules

For hands-free assignment, create an Automation Rule that automatically assigns leads based on source or other criteria. Example: when Lead Source = 'Website', assign Owner to Alice. See the Automation Rules guide for setup instructions.

Frequently Asked Questions

Can a lead have multiple owners?

No. Each lead has a single Owner in Vedain. If multiple people need to collaborate on a lead, use the @mention feature in the lead's Timeline notes to notify colleagues.

Does the previous owner get notified when a lead is reassigned?

The previous owner is not automatically notified. The new owner receives a notification. If you want to notify the previous owner, add a note in the lead timeline mentioning them with @name.

Can I see all unassigned leads?

Yes. In the Leads filter panel, set Owner = Unassigned to see all leads with no owner. This helps admins ensure full coverage.

What happens to a team member's leads if they leave the company?

Their leads stay in the system with them as owner. Use Bulk Actions → Reassign to move their leads to a new owner before or after deactivating their account.
