Understanding Roles and Permissions in Vedain CRM

Vedain uses a role-based access control system so you can give each team member exactly the access they need — no more, no less. This guide explains the three built-in roles and how to create custom roles for specific needs.

The Three Built-In Roles

Admin — Full Access

  • Access to every module: Leads, Contacts, Deals, Campaigns, WhatsApp, Reports, Settings, Billing
  • Can add and remove team members, change roles
  • Can manage subscription and billing
  • Can view all records across all owners
  • Can export all data
  • Can configure automation rules, custom fields, and deal stages

Manager — Team Visibility

  • Access to all CRM modules including Reports
  • Can view and edit all team members' leads, contacts, and deals
  • Cannot manage billing, add/remove users, or access most Settings
  • Can create and send campaigns
  • Can run and export reports

Sales Rep — Personal Records

  • Access to Leads, Contacts, Deals, Tasks, Campaigns
  • By default sees only records assigned to them
  • Cannot access Settings, Reports, or Billing
  • Cannot view other team members' records
  • Can create leads, contacts, deals, and tasks

Creating a Custom Role

If the built-in roles do not fit your team structure, create custom roles with exact permissions:

  1. Go to Settings → Team → Roles tab.
  2. Click New Custom Role.
  3. Enter a role name (e.g., 'Read-Only Analyst', 'Support Agent').
  4. For each module, toggle View, Edit, Import, and Export on or off.
  5. Click Save Role.
  6. Assign the role to team members from Settings → Team.

  • Leads, Contacts, Accounts, Deals, Tasks
  • Inbox, Campaigns, Calling Campaigns, Warmup
  • Forms, Workflows, Meetings, Invoices
  • Attendance, Lead Automation, WhatsApp, Reports
  • Custom Dashboards, Onboarding, HR Employees
  • Timesheets, Performance, Shifts, Support Desk

Frequently Asked Questions

Can a Sales Rep see leads that are not assigned to them?

By default, no. Sales Reps only see records where they are the Owner. Admins and Managers can see all records. If you want a Sales Rep to see all records, create a custom role with full view access on Leads.

Can I have more than one Admin?

Yes, you can have multiple Admins. There is no limit on the number of Admins in your workspace.

Can I restrict a Manager from seeing other people's leads?

The built-in Manager role has full record visibility. To restrict this, create a custom role with Leads view set to 'own records only' — contact support to enable this per-role setting.

What happens if I delete a custom role?

Users assigned to that role will be moved to the Sales Rep role automatically. You can then reassign them to another role.
