Email Verification: Quick Check vs Mailbox Verification

Vedain CRM·10-Oct-2026·5 min read

Vedain checks email addresses in two ways. The quick check is free and unlimited and catches dead domains, typos and past bounces. Mailbox verification asks the mail server whether the exact inbox exists. Here’s when to use each one.

Two levels of checking

Quick checkMailbox verification
CostFree, unlimitedPaid per valid or invalid result; catch-all and unknown are free
ChecksSyntax, typos, domain, mail server, disposable, role, past bouncesWhether the mail server would accept mail for this exact address
SpeedMinutesHours for large batches
Works onAll your leads and contactsYour leads and contacts, or an uploaded list

Neither check sends an email to anyone. Open both from Email Verification in the sidebar.

Run the quick check

  1. Go to Email Verification.
  2. In the Quick check — free panel, click Check all emails (or Check again later).
  3. When it finishes, review the totals: deliverable, risky, invalid — will be skipped, couldn’t verify (DNS timeout) and no email address.
  4. Click any reason to see example records and addresses.

Results are saved on each lead and contact, so you can use them in filters and campaigns. The dashboard also shows a Deliverable emails percentage card after your first check.

Every quick-check reason

Reason shownVerdictWhat it means
Not a valid email addressInvalidThe address isn’t written correctly, for example it’s missing an @ or has spaces.
Domain does not existInvalidThe domain after the @ isn’t registered.
Domain has no mail serverInvalidThe domain exists but has no MX record, so it can’t receive email.
Bounced beforeInvalidMail from your workspace to this address bounced before.
Hard-bounced recentlyInvalidThe address hard-bounced recently for another Vedain sender. Vedain stores only a one-way hash of these addresses, never the address itself.
Mailbox does not existInvalidA mailbox verification found no such inbox.
Likely typoRiskyLooks like a misspelt provider or ending, for example gmial.com or .con.
Disposable / throwaway domainRiskyA temporary inbox service that people use to avoid follow-up.
Person has left the companyRiskyThe record is marked as having left, for example after Inbox intelligence.
Role address (info@, hr@ …)RiskyA shared inbox, not a person. These are often filtered or ignored.

Invalid addresses will almost certainly bounce, and campaigns skip them by default. Risky addresses may be delivered but carry a higher chance of bounces, complaints or no one reading them. You can choose to skip those in a campaign too. See the campaign verification guard.

Fix typos in one click

If the check finds likely typos, a panel says, for example, “37 addresses look mistyped (gmial.com, .con …)”. Click Fix typos, then Yes, fix them to correct each one to the obvious domain. Every fix appears as “Email typos fixed” in the History panel on the same page, and you can reverse it with Undo.

Mailbox verification

A domain can be real and still not have a mailbox for priya.s@, for example because she left and her inbox was deleted. Mailbox verification connects to the recipient’s mail server and asks whether it would accept mail for that exact address. It ends the conversation before any email is sent.

Pricing and free checks

INRUSDAED
₹0.40 per billable result$0.005 per billable resultAED 0.02 per billable result

10,000 billable results cost about ₹4,000 or $50. A billable result is a valid or invalid answer; catch-all and unknown results are always free. Checks are paid from your wallet under Billing → Credits (the same wallet Data Health uses). Every new workspace gets 50 free mailbox checks. The panel shows how many are left, and they’re used before your wallet is charged. Existing customers received a one-time launch credit in their wallet.

Recent results are reused rather than checked again: valid results for 60 days, invalid for 90 days and catch-all for 30 days. The estimate counts only addresses that haven’t been checked recently.

Verify your leads and contacts

  1. In the Mailbox verification panel, read the line for Your leads & contacts. It shows how many addresses haven’t been checked recently, the price per billable result and the most it could cost.
  2. Optional: set a Spending cap.
  3. Click Verify mailboxes, then Yes, check.
  4. The job runs in the background, so you can leave the page. Its row shows progress, the amount spent, and a count for each result. Click Stop to cancel a running job.

Why large batches take hours

Checks run from Vedain’s own dedicated verification server. Gmail, Microsoft and corporate mail servers don’t like being asked thousands of questions at once, so Vedain paces its requests for each provider to protect its reputation and keep answers accurate. A few hundred addresses finish quickly. Tens of thousands can take several hours.

When a server asks Vedain to slow down, checks to that provider pause for up to an hour, and the panel tells you. Addresses a server won’t answer yet are retried with growing gaps for up to 7 days before they’re marked unknown.

Check an uploaded list

To check a list before you import it, for example from an event or a vendor:

  1. Under Check a list, click Upload list and choose a .csv, .txt or .xlsx file. The limits are 25 MB and 200,000 addresses per file. Vedain finds the email addresses in any column, answers misspelt, throwaway and dead-domain addresses free, and shows the maximum cost and roughly how long the check will take before you start. You can download results so far while it runs, and large lists email you when they finish.
  2. Review how many addresses were found and the maximum cost. Click Remove to pick a different file.
  3. Click Verify list, then Yes, check followed by your file name.
  4. When the job finishes, click CSV on its row to download a result for every address.

One mailbox job runs at a time, so wait for the current one to finish or stop it before starting another.

Try it without an account

The free email verifier checks up to 10 addresses in your browser for syntax, typos and role inboxes, with no sign-up. Mailbox checks need a free Vedain account. See also the Email Verification overview and pricing.
